Front of House Receptionist

POSITION SUMMARY

The Receptionist role provides services and support to both Trident Business Centre (TBC) and Business Launchpad (BLP). The majority of the role focuses on the centre’s tenants, in order to ensure that all TBC’s services are provided in an effective and efficient manner.

REPORTS TO

Centre Manager. Will work closely in a team environment with the Business Administrator, Assistant Centre Manager, Maintenance Supervisor, and Finance team.

ROLES & RESPONSIBILITIES

Meet & Greet

· Provide excellent, friendly customer service at all times

· Notify Tenants and staff members of visitors

· Answer and redirect phone calls

· Respond to general enquiries directed to both the centre and the charity

· Provide information about the centre to walk-ins (directing to Asst. Centre Manager)

Tenant admin

· Sort out post and deliveries for tenants and the company

· Stay up-to-date with all Tenant movement in the Centre

· Arrange keys, fobs, handsets and allocate post boxes for new Tenants (new tenant checklist)

· Collect handsets/keys/fobs when Tenants move out

· Log maintenance issues

· Issue parking permit and manage offence procedure

· Liaise with TBC’s broadband/ telephony provider

· Purchase office supplies (stationery, stamps, toners/cartridges etc)

· Update furniture catalogue

General

· Manage info@trident inbox / allocate website enquiry emails

· Updating Reception folder on company shared drive

· Deal with suppliers requiring access to the centre

· Virtual tenants set-up

· Keep Reception area neat and tidy

· Book Conference and Meeting rooms

· Book client meetings with Business Counsellors

· Tenant function support

· Any other tasks that arise appropriate to job role
